By following the steps outlined below step by step, you will save yourself a lot of trouble right at the very beginning. If you have any questions, you can always contact your EOS representative or use the support available at support@eosclub.app.
We've already gone through the platform together and now it's time to set up own trial. You have 30 days to do this and for the live version of the platform.
To begin with, you’ll need to set permissions for other members, add a bank account and link it to banking, and configure the platform to suit your needs.
Basic EOS Platform Setup Instruction
Basic EOS Platform Setup Instructions – for when you’ve just purchased the platform or need to review the basic configuration options.
You can manually create additional members who will test the platform. Later, the most efficient way to make a membership database is to use bulk import. Another option is to allow members to register through an online registration form on your platform.
Member Import
Bulk member import is one of the first steps after acquiring the EOS platform. However, it’s also useful later whenever you need to easily add multiple members to the database at once.
Online member registration
Through the online registration form, new members can register for your platform.
Teams are groups of members and their team staff divided up in the way you need to work with them - sending them messages, creating events for them, sending them bulk payments.
Creating Teams/Walls and Their Overview
Thanks to teams, you can divide your members into individual groups – just like they function in reality. Each team will also have a communication wall in the Member Section.
Creating the Roster / Team Composition
Create the composition of individual teams – assign both regular members and the coaching staff or team administrators to teams. Team administrators then have extended permissions on the team wall in the members’ section
Before you invite members to the platform, you can prepare their calendars—create recurring events, e-applications for activities, or even nominations/organizing events.
You can also create payments for members directly, for example in bulk just by using defined teams - membership fees, payment for an event, etc. We recommend creating payments as inactive first, so that notifications are not sent to members yet.
Payments
The EOS platform allows you to create payment instructions for your members, record all incoming payments, generate payment receipts, create overviews and exports. All of this with integration to online banking for automatic payment matching from your account.
Set up and activate the Member Registration Consent (a long-term consent to register with the organisation based on the statutes). You can also create any other consents you want, for example for the processing of personal data.
You have decided to go live and will soon be inviting members and parents to EOS. We will sort out the contract together and transfer the platform to your domain (e.g. member.yourdomain.com).
This is one of the most important steps. You are preparing to invite members and/or their representatives to the platform. The worst approach is to send invitations without any prior notice and assume they will willingly and effortlessly register. Schedule a meeting with them or at least explain your intention to start using EOS in an email. Share detailed, straightforward instructions with them. We have prepared a template for you:
How to Start with EOS – Instructions for Members/Representatives
This article contains templates you can share with your members and/or their representatives. These are instructions on how to start working with the EOS Platform. Adjust the template as needed. An effective approach is to post it as an article on your website or share it in another way that suits you.
And here we go! With a bulk action in the Members module, you can send invitations to everyone, allowing them to create user accounts.
Member Database
A database of all your members, including their potential representatives – both active and inactive. It provides search, advanced filtering, import, and various exports.
A common problem is when a representative (parent) registers on your platform as a member (child). How to resolve this situation can be found in the following articles:
Troubleshooting: your representative must help you complete your registration
Is a member or their representative reporting that they can't complete the registration? That they can't log in?
Troubleshooting: Member Access vs. Representative
The platform distinguishes between member access and their representatives. It's also easy to handle situations where the representative is also a member or has multiple children in the organization. How to properly manage member and representative access?
At any time during the trial period or while using the platform, you can reach out to your EOS representative or contact support at support@eosclub.app.
Articles about individual support components, as well as the smart EOSbot that can assist you with everything, can be found in the EOS Help database.
