Allow payments from member accounts – payments generated in this group can be settled by members from their member accounts
Member Accounts
Member accounts are virtual accounts of club members where positive and negative transactions can be recorded manually or automatically. For example, it's possible to track rewards or bonuses for members' activities or deduct participation fees or penalties. All of this can be done through transactions created manually or automatically.
Don't allow downloading proofs of payment – members will not be able to download payment receipts for settled payments.
Create as active – You can create the payment group as active right away, and notifications about new payments will then be sent to members 15 minutes after its creation. However, you can also create the group as inactive and activate it later.
Create the payment group by clicking the button Save.
In the payment group overview, click on the created payment group to access its details.
To create a new payment in the individuals group, click on the Search and add member field.
To generate payments in bulk, click on More > Add a payer by team
Select the season and the team.
Using the toggle Only members with the main team you can filter only members who have the selected team set as their main one.
Select payers either individually or in bulk using the checkbox Select all.
Add payers to the group using the button OK.
You can also create a payment for an external payer who is not in the EOS platform.
Click on More > Add external payer.
Enter the name and email address, and the external payer will receive an email notification with payment details.
It's also possible to Generate free payment slots, to which you can add specific payers later. You can also find this option under the button More.
On the screen All payments you can also create a standalone single payment that doesn’t belong to any payment group, see below.
After generating a payment, the member receives a notification about the new payment.
Notifications for Payments and Member Accounts
The EOS platform sends all members a range of helpful notifications – including those related to payments. Most of these are sent to the mobile app and/or email.
The member has access to all payment details and a QR code either in the platform or in the email notification.
If the EOS platform is connected with your banking system, the transaction will automatically be matched to the payment in EOS based on the variable symbol once it is credited to your account.
Banking API
The EOS platform can be connected to practically all banks in the European Union using an API for automatic transaction downloads and their matching with created payments.
The member automatically receives a notification of the payment being completed, with information that they can download a confirmation of payment.
Member Profile
On the Profile screen, you can find all your personal information in one place. You can also edit it and submit it for approval to management.
Basic Information and Settings
Details about your club, an overview of default values for your platform. On this page, you can also upload your own stamp, which will be displayed on all payment confirmations.
The top tiles show statistics for the specific payment group:
The total amount of generated payments
The total amount of unserrled payments
The total amount of overdue payments
The total amount of applied discounts
The total amount of payments made in the last 30 days
The number of unassigned payments
The preview eye next to the member's name displays a panel with payment details and additional actions.
The More button also offers the following options:
Edit – Modify the payment group
Export all payments – Export payments of the selected group
Pay from membership account – You can fully or partially settle unpaid payments for group members (depending on the balance) by transferring from their membership accounts. First, select the account from which the payments will be settled. Then, enter the amount to transfer, or use the maximum available balance in the accounts. If a member’s account doesn't have enough funds for the entered amount, the payment can still be partially settled with a smaller amount.
Generate receipt – If the payment is fully settled, you can generate a PDF receipt for it.
In the payment overview of the group, in the Discounts column, you can click on the amount link to add a discount to the payment.
Select a previously created discount rule.
Rules for Discounts
Create your custom discount rules, which can then be easily applied to individual payments.
Or fill in the discount name and choose whether to apply the discount by amount or percentage.
You can add an internal note to the discount.
Right-click (or use the context menu – three dots) on the specific payment/payer.
Click on Edit, where you can edit the parameters for this specific payment and send a notification about the payment change to the respective payer.
In the menu, besides editing, you also have options:
Set payer – change the payer of the payment (different member, external payer, no payer)
Mark as paid manually – mark a payment (or part of it) as paid. This is essentially a manual creation of a transaction, which is then matched to the payment, e.g., if a member unexpectedly pays in cash instead of to the account.
Mark as paid from member’s account – mark a payment (or part of it) as paid using the money from the member's account balance (if the member has a positive balance and you allow it for their account).
Show member’s payments – shows all payments for a specific member.
Payment document in PDF – generates a payment document, e.g., for sending via email.
Change history – displays the history of all changes made to the payment.
Mark as uncollectible – the payment gets a special tag, and due date notifications will stop being sent. It will also be excluded from summaries and won’t be included in statistics. However, in payment exports, these payments can still be found – marked as uncollectible.
Cancel – the payment is marked as canceled, and a notification about the cancellation is sent to the payer. In payment exports, it will be listed as canceled.
Delete – deletes the payment without any notification. The payment will no longer appear anywhere and won’t be included in exports.
The top tiles show statistics for all payments.
