To access the module, go to Management > Singups.
You can easily use this module to log anyone into anything. For example, if you are organizing a camp, which can be attended by both members of your platform (organization) and the general public, the application forms are the right tool. But you can also use them just for your internal members..
The number of applications is not limited, just as the number of steps and fields in individual forms is unlimited. You can also decide whether the application is available only to your members, only to the public, or to both members and the public. The placement of the link for the public is entirely up to you – it can be on your website or social media, for example.
You can divide applications into different categories (e.g., camps, workshops, seminars, etc.). You create the categories in the Management section.
Categories
You can divide applications into categories and subcategories, which allows you to create an organized navigation hub for your participants.
Click on the button “+“.
Enter the name of the new singup in the dialog box.
If you’ve created categories in advance, select the right one.
Select the season/period if you’re using one.
Fill in the capacity for the event.
Select Availability – whether and how the application is meant for members/public:
unavailable – it won’t show up anywhere
catalogue - including the possibility od singing – people will find this application in the catalog and can register:
members: Member zone > Signups catalog
public in the public catalog, which the platform will generate a link for
catalogue without signing – users can see the application with all details but won’t have the option to register
not available in catalogue – registration only via link – the application won’t show up in catalogs and users will need to be sent a link to register
Click on Save.
Once you create an application, you'll see it in the list along with any other applications.
Requires Action – shows the number of participants requiring action from your side. Clicking it leads to a list of such items.
Available Credits – shows the number of credits you have available for registering external participants. Clicking it leads to the credits overview.
Credit System
The Applications module is available to all organizations within the standard license. Member registration is also free. Registration of external participants (public) is charged using credits.
You can also access these two places through the More button.
Using the Search bar, you can look up any registration by name.
With the Advanced Filtering button, you can filter registrations by selected criteria:
Active application
View only registrations that are active or, on the contrary, those that are not active.
Date of the event – End – filter registrations by their end date. You can set a range for the registration's end date and, for example, filter all registrations that end this month. This filter allows you to specify only the end date range. If you need to filter by the start date as well, use the filter "Event Date – Start". These two filters can be combined.
Date of the event – Start – filter registrations by their start date. You can set a range for the registration's start date and, for example, filter all registrations starting this month. This filter allows you to specify only the start date range. If you need to filter by the end date as well, use the filter "Event Date – End". These two filters can be combined.
Registration Date – Until – filter registrations by the date until which people can sign up. You can set the end range for registration and, for example, filter all registrations open until the end of the month. This filter allows you to specify only the end range. If you also want to filter by start date, use the filter "Registration Date – From". These two filters can be combined.
Registration Date – From – filter registrations by the date from when they become open for registration. You can set the start range for registrations and, for example, filter all registrations that opened this month. This filter allows you to specify only the start range. If you also want to filter by the end date, use the filter "Registration Date – Until". These two filters can be combined.
Creation Date – filter registrations by their creation date. You can set a date range or specify just one date.
Availability for members – filter registrations by whether they are visible in the member catalog or whether members can sign up for them.
External Participant Availability – filter registrations by whether they appear in the public catalog or whether external participants can sign up for them.
Capacity – filter registrations by their capacity – either the main capacity or the capacity for substitutes.
Category – view only registrations that fall into a certain category. The platform allows you to create your own categories in the Settings.
Place – filter registrations by the place where they are held. You can choose from existing places you have created in the Places module of the platform.
Last Change – filter registrations by the date they were last modified. You can set a range of two dates or specify just one.
Currently Available – view only registrations that are currently open for sign-up.
Tags – filter by assigned tags. You can also combine included and excluded tags to, for example, view only entries that have tag A assigned but do not have tag B.
With the Displayed Columns button, you can select columns and customize your table view.
By clicking on the binoculars button, you can work with views – save a filtered view for future use or manage previously saved views.
In the individual columns, you can see a clear overview of basic information about each application, e.g., the number of participants by status, application status, and deadlines or its availability to members or the public. You can set up the displayed columns yourself.
With the toggle in the Status column, you can easily deactivate the entire application – it will stop being visible to everyone.
With the toggle in Applications, you can (for example, temporarily) disable applications – the form will remain visible based on its settings, but it won't be possible to apply.
The notebook icon allows you to add or view an internal note.
To create individual steps and application forms and adjust other settings, click into the application detail and edit view.
Application setup and creating steps
After setting up the application, you need to configure its details and create the individual steps applicants will fill in.
You can find out how to approve participants or work with them further in a separate article.
Working with application participants
Both your members and the public can apply via applications. You have the option to approve or reject individual steps, filter participants, and work with them further, for example, by turning them into permanent members.
Credit system
The Applications module is available to all organizations within the standard license. Member registrations are also free. Registration of external participants (the public) is charged with credits.
To create an application, permissions are required in the module Signups.
