There are several ways to get new people into the EOS platform. They differ depending on whether you want to collect prospects from the public on an ongoing basis, run recruitment as an event with a deadline and a capacity, or simply migrate a database you already keep somewhere else.
I want to | Use | How it works |
Collect prospects from the public on an ongoing basis | Online registration form | The prospect fills in the form themselves. You approve the registration and the member is automatically added to the team you enabled for registration. |
Run recruitment as an event with a deadline and a capacity | Signups module | A multi-step form with capacity, substitutes and an optional entry fee. Anyone can sign up, not just members. |
Let parents find the right team for their child's age | Recruitment guide on the website | The parent enters gender and year of birth and the guide recommends suitable teams. |
Migrate a database from another tool | Bulk import | A one-off file upload in the Members module. |
Add an individual you already know | Creating a member manually | An administrator creates the member card and sends an invitation. |
Reach parents who are already in the platform as representatives | Creating a member from a representative | The representative becomes a full member and the system carries over their contact details. |
The simplest way to collect prospects continuously. The form is part of the login screen and can be hidden from it – it then stays available through a direct link only, which is useful for a QR code on a flyer or a link in a social media post.
A recruitment tip: create one dedicated team, for example Recruitment 2026, and enable only that one for registration. All prospects land on a single roster and you move them to the real teams once you have talked to them. Larger organizations can use an organizational unit in the same way.
Online member registration
Through the online registration form, new members can register for your platform.
Signups are a separate public module. Unlike registration, this is an event with its own steps, deadline and capacity – use it when recruitment takes the form of an open day, a trial session or a course. Anyone from the public can sign up and a parent can sign up several children at once.
Capacity and substitutes – once the main places are full, further applicants are automatically queued as substitutes. When a place frees up, the first substitute is promoted automatically and receives a notification.
An entry fee inside the signup – a payment can be attached to any step and is generated as the participant goes through it.
Categories and labels – group signups into categories such as Recruitment 2026 and mark them with public labels like Sold out or New.
Contact person – set it on the category and every recruitment signup below it inherits it. You also decide whether the public, only the participants, or nobody sees it.
Copying – both a whole signup and individual steps can be copied, so next year's recruitment starts from this year's. A copy is always created as inactive, so you can edit it in peace.
Adding a participant manually works even after sign-ups have closed, for those who get in touch later.
Rejection comes in two forms: return for correction, where the participant edits the data and submits again, and permanent rejection.
A participant who is your member costs nothing. One credit is deducted for a participant from the public.
Creating a signup and overview
With the sign-ups, anyone can sign up for your event, whether they are a member of your organisation (platform) or a member of the public. Create signups with a few steps and completely custom forms.
Signup settings and creating steps
After creating the application, it’s necessary to set its details and create individual steps that the applicants will fill out.
Working with signup participants
Both your members and the public can apply through applications. You have the option to approve or reject individual steps, filter participants, and continue working with them, for example, by turning them into permanent members.
Price per signup – credit system
The Signup module is available to all organizations as part of the standard license. Member registration is also free. Registration for external participants (the public) is charged in credits.
If you have a website from EOS, you can add a short description for parents to each team and switch the team into the guide. On the website it then works as an interactive filter – the parent enters the child's gender and year of birth and the guide recommends suitable teams.
Náborový průvodce
If you keep recruitment prospects in another tool, a spreadsheet for example, upload them using bulk import. An administrator can create an individual you already know manually and send them an invitation right away.
Member database
A database of all your members including any representatives they may have – both active and inactive. It offers search, advanced filtering, import and a wide range of exports.
Member import
Bulk import of members is one of the first steps after acquiring the EOS platform. It is also useful at any time later, however, when you need to easily add several members to the database at once.
E-applications and Nominations serve existing members – an e-application is always aimed at whole teams, organizational units or all members of the organization, and a new prospect cannot sign up through it. Use the Signups module for recruitment from the public.
E-applications
An e-application is one of the four types of events that can be created in the EOS platform. They can be linked with an automatic payment for the participants and their most frequent use is for training camps, camps or, for example, seminars.
Nominations/invitations
A nomination (in the non-sports variant of the platform an Invitation) is one of the four types of events that can be created in the platform. It is useful above all when you want to invite specific people from across the organization to a given event.
