# Working with signup participants

Both your members and the public can apply through applications. You have the option to approve or reject individual steps, filter participants, and continue working with them, for example, by turning them into permanent members.

## Module Location

To access the module, go to **Management** **\> Signups.**

## Participant Overview

Click on an application to access its details, where you’ll find several overview tiles with basic counts. Click on them to filter out what interests you.

- **Attendants** – overview of all participants in the registration process across all phases

- **Signed-up**– successfully registered participants = went through the entire registration process and all steps were approved

- **In Progress** – the applicant has completed some steps, but still has others to finish

- **Requires action** – the applicant has completed one of the steps, which is now awaiting the application manager's response

    > **Info:** If you have manual approval set for a specific step in the application process, it will need to be approved/rejected/sent back for completion. If manual approval is not required, the applicant can proceed through all steps without your intervention.

    Signup settings and creating steps

After creating the application, it’s necessary to set its details and create individual steps that the applicants will fill out.

- **Unverified** – external participants who signed up (completed step 1) but did not verify their email

    > **Info:** Every external applicant who completes step 1 of the application will receive an email with a link they need to click on to verify their identity—it’s as simple as clicking the link to be legitimately signed up. If one of your members is applying, no verification is needed.

- **Rejected** – participants who were rejected at some step of the application process by the administrator

    > **Success:** Rejected participants can be reinstated at any time during the sign-up period.

- **Deducted credits** – the number of credits deducted for external participants in the given application

    [

Price per signup – credit system

The Signup module is available to all organizations as part of the standard license. Member registration is also free. Registration for external participants (the public) is charged in credits.

## Approval of Participants

For each step of the application, it’s possible to set whether the step requires manual approval by the application administrator. In such cases, you’ll always see an orange link for applicants that says **Requires action**.

[

Signup settings and creating steps

After creating the application, it’s necessary to set its details and create individual steps that the applicants will fill out.

The action must be completed for the applicant to proceed to the next step or to provide the required information for the current step.

- Click on the link **Requires action** (or the orange icon with an exclamation mark next to the respective step), and a dialog will open with the applicant's filled information.

- Click on **Approve**, if everything is in order.

- Click on **Reject**, if the information is not in order, and fill in **Rejection type:**

    - **request change** – the applicant will receive a notification asking them to complete/change the information in the respective step (it's also mandatory to enter a **Reason** for the change request)

    - **permanently reject** – a rejection that can only be reversed by restoring the participant by the application administrator – you can specify a **Reason** for rejection

## Further work with participants

You can work with the registered users either one by one or in bulk.

### Working with an individual registered user

- Right-click or use the context menu (**3 dots**) and the following options will appear:

    - **Mark as substitute**

    - **Convert to member** (for external participants) – allows you to turn an external participant/prospect into a member of your organization

        - A dialog will appear where you can fill in additional required details to create the member

        - Click **Save** and the member will be created in the database

    [

    Member database

A database of all your members including any representatives they may have – both active and inactive. It offers search, advanced filtering, import and a wide range of exports.

- **Reject** – they will receive information about the rejection and it won't block the application capacity

> **Info:** Unlike the **Reject** action, which you have while checking your completed step, here you do not get the choice to request a change to the data. This is a permanent rejection that can only be reversed by renewing it.

- **Restore** (for rejected applicants) – action to restore a permanently rejected applicant

### Bulk actions with registered members and participants

Check the boxes next to the participants you want to apply bulk actions to and click on **Bulk actions**. The following options will be displayed:

- **Add to roster / team / group** – add the registered participants from the given registration to a previously created team/group in the EOS Platform.

- **Add a tag** (only for members already in your database, not external participants) – you can add tags that you previously created in Settings - Registrations - Tags to the registered participants.

    > **Warning:** These actions apply only to your members in your database on the EOS Platform, not to external participants of the registration. If you want to tag or add external participants to a team in your database, you first need to make them your members. This does not, for example, involve tagging participants solely for registration purposes.

- **Permanently reject** – a bulk rejection option where the applicant is informed of the rejection and won't block the application capacity

- **Restore** – restoring selected rejected participants

### Export

- _Export of application participants will be available soon._
