You will find member file management in Management > Members > Member files.
This is a page for clear work with all files of all members. To work with the files of individual members you can go to the member detail.
Member database
A database of all your members including any representatives they may have – both active and inactive. It offers search, advanced filtering, import and a wide range of exports.
A new file is created when a member sends a request containing a file – you can save it directly to the member.
Requests
Through requirements, you can create tickets for individual members to get various information or documents from them. Members can create tickets for management if they need to request something.
You also create a new file for an individual member in Management > Members > Member detail > Files or on the Member files overview page:
Click New file (or the “+”) button and upload the file.
Select the Member the file is being uploaded for.
For better organization, fill in the file Name, select Tags and/or fill in an Internal note.
File tags
To keep member files better organized, you can create your own tags and then use them to label and filter files.
Set Access – whether the file will be visible only to the organization’s administration, the coaching staff, or the member themselves.
When creating or editing a file, choose whether you want to send the member a notification about a file accessible to them / a change in the file.
Use the search bar to search files by member name, file name or internal note.
Filter all files by these parameters:
Date created – filter member files by the date and time of creation.
Last change – filter member files by the date of the file’s last change.
Access – filter member files by whether the organization’s administration, the coaching staff or the member themselves in their profile has access to them.
Tags – filter files by assigned tags. You can also combine assigned and excluded tags and display, for example, files that have tag A assigned but at the same time do not have tag B.
In the list you will find important information about the files in the individual columns, including the option to preview and download.
Right-click the row with the file (or the context menu three dots) and the following actions are available:
Quick preview of the document
Download the document
Change history
Edit
Delete – completely deletes the document from the member
Management permission: Managing member files requires write permission for the Members module.
Change history: Users with access to the Logs module can view the history of all changes in any record.
