# Member import

Bulk import of members is one of the first steps after acquiring the EOS platform. It is also useful at any time later, however, when you need to easily add several members to the database at once.

## **How to create a CSV**

You can download the sample file below, fill it in and import it into EOS. Just keep in mind that after editing you need to **export it in CSV (UTF-8) format.** In Excel, use the option **Save as** instead of Export**.** Only this way is the correct format and transfer of data to the platform guaranteed. Applications such as Excel, Numbers or Google Sheets use e.g. XLSX, .numbers and similar as the default format, and these cannot be imported.

### Sample tables for basic and advanced import

In most cases the basic import is suitable and sufficient – all it needs is first name, last name, birth date and e-mail address. The rest of the data will be filled in by the members/representatives themselves when they first log in to the platform.

In some cases it is necessary to import more data about members/representatives right away.

> **Info:** You will learn what can all be imported in the table describing the columns below.

### **Rules for the CSV**

- A valid CSV file – if the file were saved e.g. as a classic XLS, the table would not even load in the platform.

- Unambiguously defined columns – no two of them may have the same name.

- The order of the columns does not matter.

- The file does not have to contain all the columns, the mandatory ones are enough.

- The birth date must be in the classic format with dots, e.g. 12.11.2000

- Only one e-mail address must be given for each member (but one e-mail address can be given for several members – e.g. the e-mail of a parent for their three children, to which you then send them the invitations).

- The field separator must be a semicolon, not a comma – but Excel or Numbers offer this as the main or only option when saving, so usually you do not even have to deal with it.

- Text encoding UTF-8. When saving the file, choose CSV in the UTF-8 variant if the program offers it to you.

### **Data for import**

There are three categories of data that you can import with each member:

- **Mandatory** – these are key for correctly creating the member in the database, without them the import will not run.

- **Optional** – data that have their own predefined fields for the member in the member database, into which the information from the import is loaded.

- **Custom fields** – import any other data to members into custom fields. These can then be displayed as columns in the database and worked with further.

- **Free-form** – any other data/notes that you want to record as text for the member – they are imported into their Infocard, in which, however, it is not possible to search, filter and so on.

### **Importing data into custom fields**

- Go to **Management > Settings > Custom fields > Members**.

- Using the "**+**" button, add a new custom field.

- Fill in its name, type and who will have access to it.

- Click on the button **Add more options** and select **Column in import**.

- Fill in the name that the column will have in your import (lowercase letters without diacritics, digits and underscores are allowed).

- The value from the given import column is then written to the member into the created custom field.

Custom fields

Create different types of custom fields to record and manage any additional information about members or their representatives. You can add custom fields to both the members/representatives and to the new member registration form.

## **How to carry out the import**

- In the section **Management > Members** click on the button **More** > **Import**.

- Open the finished import and check it. Using the tabs you can filter the individual records according to whether they are valid, incomplete, duplicate or impossible to import.

- All records can still be edited and completed before the import is started, or, using the button **Add new** you can add another item (another member).

- You carry out the import into the member database with the button **Start import**.

## **Permissions and access**

**Permission for management:** To manage member imports, write permission is required in the module **Members**.
