# Online member registration

Through the online registration form, new members can register for your platform.

## **Where can I find the registration form?**

On the login screen of your EOS platform, just click the **New Registration** button. If you're not interested in online registration, this feature can be disabled in the platform configuration.

You do not have to disable registration entirely, though. The link can simply be hidden from the login screen – the form then stays available through a direct link. For recruitment you can put that link in a QR code on a flyer or in a social media post without offering registration to everyone who visits the login screen.

Platform configuration

The platform can be set up using many parameters so that it perfectly suits your specific needs. Check the detailed configuration of your platform here.

## **How does online registration work?**

- A newly registering member fills in all required information in the form to create a user account on the platform, plus any optional information. By default, these are:

    - First name

    - Last name

    - Date of birth

    - Contact email

    - Contact phone

- After submission, the new registration appears in **Management > Overview** and platform administrators with the appropriate permissions receive a notification about the new registration.

> **Info:** The contact email is optional. If the applicant leaves it out, no confirmation or rejection email is sent and the secretariat processes the registration manually. This is useful for on-site recruitment, where you fill in the form together with the parent.

## Are you registering your child?

If you are registering your child, please fill in the child's first name, last name and date of birth. Fill in the contact details for the proxy, i.e. yours. In the case of child members, the parent needs to actively access the platform first. An invitation will be sent to the email provided.

Troubleshooting: member access vs. representative

The platform distinguishes between member access and their representatives. It's also easy to handle situations where the representative is also a member or has multiple children in the organization. How to properly manage member and representative access?

## Additional information

Thanks to the custom fields feature, management can also request any additional information they want to collect from members.

The applicant also picks a preferred language in the form. All communication is localised accordingly even before a user account exists for them. Depending on the member type settings, a permanent address can be requested as well.

Custom fields

Create different types of custom fields to record and manage any additional information about members or their representatives. You can add custom fields to both the members/representatives and to the new member registration form.

## Consents directly in the form

Consents can be attached to the registration form, so a new member grants them during registration and you do not have to collect them afterwards. A consent can require email verification – it is then recorded only after the recipient clicks the link in the email. The system records the IP address of every confirmation for audit purposes.

## Selecting a category/division and team

Management can also choose the categories (Organizational Units) and teams to offer to new members for selection. The member can choose whether he/she is applying for floorball, athletics or a specific team within the organization.

The team and the organizational unit both have a for registration flag for this. Teams and divisions that are switched on are offered to the applicant in the form, and once the registration is approved the member is automatically added to the roster of the selected team.

A recruitment tip: create one dedicated team, for example Recruitment 2026, and enable only that one for registration. All prospects then land on a single roster and you move them to the real teams once you have talked to them. Larger organizations can use an organizational unit in the same way – with extended permissions, the requests are then seen and handled by the administrator of that division.

## Registration method and member type

The registration method is configured separately for each member type. There are two options: standard, meaning the platform's native form, and external, where the applicant is redirected to your organization's own registration form. Both methods can run at the same time for different member types.

For recruitment it pays off to create a separate member type, for example Prospect. It carries its own set of fields, its own consents and its own wording of the welcome email that is sent once the registration is approved.

## Registration approval

Once completed, the registration form is sent to management for approval. Once approved, the member is automatically sent an invitation to the platform, through which they create a password and fill in all other required information when they first log in.

During approval the system watches for duplicates – if a person with the same name and date of birth already exists in the database, it points them out. This happens routinely during a recruitment campaign, typically when a parent submits the form twice.
