You will find Member accounts in Management > Member accounts.
Click the button with the “+” icon.
Then write the name of the account.
Select the currency:
leave the field empty and the account will be in points
or select a monetary currency
Select Top-up account, if you want to allow members to top up the member account themselves via a payment.
Select whether the given account will be assigned only to specific organizational units.
Tick Allow paying payments, if you want members to be able to use the funds on their accounts themselves to pay their payments that you create for them in EOS.
Set the account visibility:
never – for internal records of points/money
always – the member will always see the account in their profile
if it has a transaction – the account will be visible in the member’s profile only if it has at least one positive or negative transaction
Tick Send members notifications about movements, if you want to notify members about new positive/negative transactions on their account.
Write a short description, e.g. the purpose of the account, which will be shown to members.
One of the typical uses is the automatic accrual of rewards to members who are team managers (e.g. coaches) for individual attendance events (training sessions).
Procedure:
Go to Management > Rosters.
Select the team and the Team managers tab.
Click to edit the member or the link in the Reward column.
Set the reward type for the member and this given team (per attendance / per hour).
Select the member account to which the reward should be credited and enter the amount.
Creating the roster / team composition
Create the composition of individual teams – assign both regular members and the coaching staff or team administrators to teams. Team administrators then have extended permissions on the team wall in the members’ section
For example you have created the account "Rewards coaches" in CZK and set specific rewards for the members who are team managers for the given team. The moment the attendance for an event of this team is saved, Management > Overview and also Management > Member accounts will show a notice that some rewards are waiting for confirmation. Click through to them and confirm or reject the reward. This creates a positive transaction on the member’s account.
Thanks to such a member account you have an overview of the total current amount owed to members (leaders, coaches). They, on the other hand, clearly see their rewards. Everything is transparent.
If, for example, you pay the coaches their reward monthly, at the end of the month you check the total of the given coach’s account. You pay out the reward outside EOS and enter a negative transaction in the coach’s account, e.g. with the movement subject / internal note "paid out", which zeroes the account and subsequent rewards will keep accruing on it.
Another variant of automatic reward accrual are bonuses for helping out – e.g. in an event of the Organizing type, thanks to which you can obtain and keep records of helpers for organizing events – e.g. matches, tournaments and so on. Bonuses for participants can, however, be set for any type of event.
Procedure:
Go to Management > Events and using the "+" button create a new event.
Define the event parameters and in the Bonus for participants section select the bonus type:
none
per attendance
per hour
Select the member account to which you want to credit the bonuses
Write the bonus amount in money or points (it follows from the settings of the given account)
Members who attend the event will become entitled to the bonus.
After the event ends, go to the event detail in the Management section and the Participants tab.
There, for each participant, after clicking the context menu (right button) it is possible to adjust the bonus amount, or approve or reject the bonus right away.
The bonus is credited to the member’s given member account.
A member account can also be used to automatically deduct fees for attending events (training sessions, courses, ...).
Procedure:
Go to Management > Events and using the "+" button create a new common event.
Define the event parameters and in the Participation fee section select:
none
per attendance
If there is a fee for attendance, select the member account from which you want to deduct the fee.
Write the amount of the fee for each event.
You can tick the option "Deduct the fee from the member account automatically when attendance is stated", it works as follows:
The fee is deducted the moment a member states that they will attend the event.
If in the end the member did not attend the event, the fee is reversed on the member account (the moment the event attendance is saved).
A member who does not state their attendance but does attend the event will have the fee deducted the moment the attendance is saved.
A member who does not state their attendance and does not attend the event will of course not have the fee deducted.
If the automatic deduction option is not ticked, the deduction of the fee has to be confirmed after the event ends in the event detail in the Management section. The Management > Overview and Management > Member accounts modules also show a notice about events and transactions that need to be processed.
If you have selected a top-up account for the given member account, members can top the account up themselves and use the credit for example for participation fees.
Procedure for the member:
In the Member zone section go to My overview > Profile > Member accounts.
Select the account you want to top up.
Click "+", enter the amount and click the Create payment button.
Within EOS a classic payment is created for the member, which is shown to the member among their other payments.
After it is successfully paid, the given account is topped up by the amount.
If it is allowed for the account, a member can use the funds on their account to pay the payments intended for them in EOS.
Procedure for members:
In the Member zone section go to My overview > Payments.
In the list of payments you will see the options for how to pay the given payments – by transfer, by card, in cash (according to the organization’s configuration) and from the account.
Click from the account and select the account whose funds you want to use.
Enter the amount you want to use from the account and click OK.
Accounts and transactions with all details can be exported if you want to work with the data in more detail.
Procedure:
Go to Management > Member accounts.
Click More and Export.
Select the Export type (if you do not have custom exports created, in the default version there will be only one).
Select the Organizational unit (if you have several).
Select the Member accounts whose movements you want to export.
Select the period for which you want to export the movements.
Click Download data.
A special use of member accounts is the so-called referral program – a reward for existing members for bringing in a new member. Each member can then easily generate their own link, which they send to a potential new member, e.g. their friend. When that person registers through this link and becomes a new member, the selected reward is credited to the member account of the member who invited them.
